Pansophia Communication Process

Purpose: To present a clear and concise process for communicating with our school community.

Who: PA School Board, Leadership Team, Administration, Staff, Students, Parents and the Branch County Community.

What: To improve internal and external communication systems with the specific goal of creating open, two-way communication.

When: There are various types of communication that the academy will use to ensure that appropriate stakeholders are informed of academy information.

    • Daily: These types of communications are used to inform stakeholders of daily event/changes at the academy. Expect the communications to be brief and directed to stakeholders needing the information.
      • Facebook, Webpage, phone calls, Classtag, Secondary classroom webpages, electronic sign, robocalls (emergency)

 

  • Who: Teacher to parent, parent to teacher, Principal, Behavior Coach, Front office secretary, counselor, student Services Coordinator, Communications Secretary

 

    • Weekly: These types of communications are used to inform stakeholders of events/efforts that are upcoming and/or ongoing.
      • Facebook, Webpage, Robocalls (upcoming events, reminders), Staff newsletter (P.A.W.s), Parent newsletter (P.A.W), electronic sign, Early Release Friday PD, phone calls, email, Friday Folders (elementary). Local print, news media

 

  • Who: Communication Secretary, Principal, Lead Teachers, Counselor

 

    • Bi-weekly: Leadership Team meetings happen twice a month and are used for school wide planning initiatives. Problem solving and scheduling upcoming efforts will be the focus.

  • Who: Leadership Team
  • Meeting minutes will be emailed to staff, appropriate events, initiatives will appear in the monthly reports.

 

    • Monthly: These types of communications will report ongoing project reports, Updates regarding assessment and enrollment data, discipline information, curriculum updates and staffing.
      • Board Report, Board Meeting, Professional Development, Radio interviews, school newspaper, PTCO

 

  • Who: Board Members, Leadership Team, Strategic Planning groups, student showcases, community partnerships

 

    • Quarterly: Communications happening two-four times a year are used to update parents on the academic progress and celebrate successes of their student in a face to face setting.
      • Parent-Teacher conferences
      • Quarterly awards ceremonies
      • Seasonal band, choir and music performances

 

  • Who: Parents, teachers, board members, students, staff and community members

 

  • Yearly: These events are used to inform the community about school year events that happen once a year.
    • Re-enrollment, Open Enrollment, Back to school open house, Kindergarten jump-start
      • Who: Parents, students, community members, teachers, staff, board members

Types of Communication Platforms

Social Media: We use social media to push information to you but not to hold a conversation between the school and the user. Questions posed on social media by users will immediately be forwarded to administration. Pansophia Academy uses the following forms of social media to communicate information:

    • School Closings, daily student/classroom activities, reminders of
    • upcoming events, schedule changes, good news, celebrations
